Responsibilities

ABOUT THE ROLE:

 

IOMAXIS is currently seeking an Office Operations Manager-Administrative Assistant to support operations in our San Antonio, TX, office. This position is responsible for shouldering various tasks necessary to support the needs of the San Antonio office and local customer base. You are comfortable working within a dynamic office environment and have excellent people skills, a great sense of humor, and a willingness to perform any task that arises in the interest of helping the company achieve our overall objectives. You are tasked with making sure our employees are happy by offering superior customer service and support.

Responsibilities:

  • Work closely and effectively with the San Antonio team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Greet and interact with visitors and customers.
  • Set up conference rooms and conference room calendars for customer and corporate efforts, etc.; manage telephone communication internally and externally.
  • Coordinate administrative support for Facilities, IT, HR, and Security.
  • Prioritize corporate and customer needs; handling matters expeditiously, proactively, and following-through on projects to successful completion, often with deadline pressures.
  • Perform a wide range of clerical and administrative duties including, for example, typing, filing, tracking of time records, word processing, dictation, composition of correspondence, arranging and coordinating agendas, compiling documents for related projects and meetings, submit and file purchase request and expense reports, etc.…
  • Coordinate directly with Facility Property Management for facility related matters like inspections, repairs, work requests, contractor access, etc.…
  • Distribute office mail and support shipping and receiving operations; coordinate the administration of corporate office supplies, vendors, etc.
  • Stock office and kitchen supplies in keeping with budget guidelines.
  • Perform other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS:

 

  • Bachelor's degree preferred but not mandatory
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Forward thinker, who actively seeks opportunities and proposes solutions.
